Preventative Maintenance Plan
For residential and light-commercial heating and cooling systems.
Regular tune-ups keep your system running efficiently, catch small problems early, and help your equipment last longer. Homes get two visits a year (spring cooling and fall heating tune-ups), and businesses get quarterly visits. When you enroll, you'll receive a written agreement listing your service address, covered equipment, plan type, and start date. The terms below apply to every plan.

1. What This Plan Is For
Regular maintenance helps your heating and cooling system run efficiently, catches small problems before they become big ones, improves reliability, and can help your equipment last longer. Under this plan, Reliable HVAC Services will perform scheduled preventative maintenance on the HVAC equipment listed on your agreement at the service address listed on your agreement.
2. Initial Inspection & Required Repairs
Before your plan begins, we inspect your system. If we find a safety issue or a condition that prevents us from properly maintaining your equipment (for example, a damaged or improperly wired electrical disconnect), that issue must be corrected before your plan becomes active.
- We’ll explain what we found and give you a quote for the repair.
- Required repairs are not part of the plan fee and are billed separately.
- Conditions found during the initial inspection are considered pre-existing and are not covered by the plan.
3. Scheduled Maintenance Visits
The number of scheduled maintenance visits depends on your plan type:
- Residential plans: 2 visits per year: a cooling tune-up in the spring and a heating tune-up in the fall.
- Commercial plans: 4 visits per year, scheduled quarterly.
We’ll contact you to schedule each visit.
4. What’s Included in Each Visit
During each visit, our technician will inspect and service the accessible parts of your covered equipment. Depending on your system type and the season, this may include:
- Checking heating and cooling operation, and thermostat operation and settings
- Replacing included air filters (see Section 5)
- Inspecting indoor and outdoor coils; cleaning accessible outdoor (condenser) coils as needed
- Inspecting the blower assembly and motor
- Inspecting electrical connections, contactors, relays, capacitors, and other accessible components
- Checking operating voltage and amperage where applicable
- Inspecting condensate drain lines, traps, drain pans, and safety switches; flushing accessible drain lines as needed
- Inspecting accessible refrigerant lines and insulation
- Checking temperature split and refrigerant operating pressures when conditions allow
- Inspecting equipment disconnects and connections
- Inspecting accessible ductwork for obvious leaks or damage
- Inspecting heating components and safety controls
- For gas equipment: inspecting burners, ignition, flame, and venting/flue piping
- Checking carbon monoxide levels around gas-fired equipment when applicable
- Noting any significant problems and recommending repairs
5. Air Filters
Standard air filters are included at each scheduled visit in the size and quantity listed on your agreement. Additional filters, specialty or media filters, electronic air cleaners, UV lights, and other indoor air quality products are not included and will be billed separately if you request them.
6. Repairs & Parts
This plan covers preventative maintenance and inspections only. Repairs, replacement parts, refrigerant, leak searches, equipment replacement, ductwork repairs, and other corrective work are not included in the plan fee.
If we find a problem, we’ll let you know, explain our recommendation, and give you pricing. We will never perform additional work without your approval.
7. Service Calls
Being a plan member does not guarantee same-day service or immediate availability. Service calls outside your scheduled maintenance visits are billed at our standard rates unless your agreement states otherwise.
8. What’s Not Covered (Exclusions)
- Equipment repairs or replacement
- Refrigerant, and refrigerant leak detection or repair
- Compressors, motors, controls, circuit boards, or other replacement components
- Ductwork repair or replacement
- Building electrical systems and plumbing repairs
- Water damage, and mold or microbial remediation
- Damage caused by pests, animals, weather, power surges, flooding, fire, misuse, neglect, or work by others
- Any equipment or system not listed on your agreement
9. Existing Conditions
We are not responsible for conditions that existed before your plan began or that are unrelated to our work, including improper installation, code violations, hidden defects, normal wear and deterioration, refrigerant leaks, water damage, mold, electrical problems, or ductwork problems.
10. Access to Your Equipment
Please provide safe, reasonable access to all covered equipment. If a component can’t be reached safely, we may not be able to service it until access is provided. Extra charges may apply if equipment requires special access (such as lifts or roof-access equipment), extensive disassembly, or other special circumstances. We’ll let you know before any extra charge applies.
11. Your Responsibilities
- Keep the area around your indoor and outdoor equipment reasonably clear
- Provide access to your equipment for scheduled visits
- Let us know about any problems you notice with your system
- Let us know about changes to your equipment or how your home or building is used
- Decide whether to approve any recommended repairs
12. Plan Fee
Your plan fee is listed on your agreement and is billed as described there (for example, per visit or per year). Applicable taxes, and any repairs, materials, or services you approve, are billed in addition to the plan fee.
13. Payment
- Invoices are due within 30 days of the invoice date unless the invoice says otherwise.
- Past-due balances may be charged a late fee of 1.5% per month, or the maximum allowed by law, whichever is less.
- You are responsible for reasonable collection costs, including attorney’s fees and court costs, to the extent allowed by law.
- If your account is past due, we may pause or reschedule maintenance visits until the balance is paid.
14. Term & Renewal
Your plan lasts 12 months from the start date on your agreement. It renews automatically for additional 12-month terms unless either of us gives at least 30 days’ notice before the renewal date.
We may adjust the plan fee at the start of a renewal term based on labor and material costs, equipment condition, number of systems, or service needs. We will notify you of any change before the new term begins, and you may choose not to renew.
15. Cancellation
You may cancel your plan at any time by contacting us by phone or email.
Early cancellation fee: If you cancel before the end of your current term, you will owe an early cancellation fee. This is either the difference between the discounted plan rate and our standard rates for the maintenance visits already completed during that term (repaying the plan discount you received), or the early cancellation fee listed on your agreement.
- If you paid in advance: We will refund the portion of the plan fee for scheduled visits not yet performed, minus the early cancellation fee.
- If your plan fee is billed per visit: No further visits will be scheduled or billed after cancellation, and any early cancellation fee will be invoiced to you.
Choosing not to renew with at least 30 days’ notice before the renewal date (see Section 14) is not an early cancellation.
We may cancel the plan with written notice if the account remains past due, if safe access to the equipment is not provided, or if the equipment can no longer be reasonably maintained.
16. Limits of This Plan
Preventative maintenance reduces the chance of breakdowns, but it cannot prevent every mechanical, electrical, refrigerant, drainage, or other failure. We do not guarantee uninterrupted operation of your equipment. Manufacturer warranties remain subject to the manufacturer’s own terms.
17. Limitation of Liability
To the extent allowed by law, Reliable HVAC Services is not liable for indirect or consequential losses (such as lost business income, spoiled goods, or temporary lodging) resulting from equipment failure. Nothing in this agreement limits our responsibility where South Carolina law does not allow it to be limited.
18. Governing Law
This agreement is governed by the laws of the State of South Carolina.
19. Entire Agreement
Your signed agreement, together with these terms, is the complete agreement between you and Reliable HVAC Services. Any changes must be in writing and agreed to by both parties.
